Duplicate headings and conflicts

Updated 08/2018

Conflict situations

  • If a 1XX normalizes to the same form as a 1XX in another record (the process of normalization removes all diacritics and most punctuation)

100 1# $a Smith-Jones, Barb

100 1# $a Smith Jones, Barb

  • If a 1XX normalizes to the same form as a 4XX in another record

100 1# $a Diaz Borges, José

400 1# $a Diaz, José

100 1# $a Díaz, José

Not a conflict

  • If a 4XX normalizes to the same form as a 4XX in another record

100 1# $a Potter, Anthony

400 1# $a Potter, Tony

100 1# $a Potter, Thomas

400 1# $a Potter, Tony

Duplicates

If the headings are for two distinct entities:

Solve conflict by changing one or both NARs to make them unique.

Follow guidelines on how to update NARs.

If the headings are for the same entity:

Keep the NAR that has been coded for RDA over the one coded AACR2.  If both NARs are coded for AACR2 or RDA, prefer the heading that contains more information (e.g., dates, fuller form of name, etc). If both headings are identical, prefer the one with the more complete set of information citations (670s), 046 or 37X fields. If all things are equal, pick either one.  Do not agonize over the choice!

Useful information from the NAR being canceled should be transferred to the NAR being kept.

Report duplicate NARs to Authorities Committee.

Example

Two NARs for the same identity:

Both records in AACR2

Example Forthcoming

We choose to keep the first record since it had a fuller form of the name and a reference. Useful information from other record was transferred over. NAR was updated to RDA and 3XX fields were added.
