Changing Locations

Changing location and item policy (permanently)

This procedure should be used for items that need to be assigned to a “sub-location” in your library or need a specific item policy.

**It should NOT be used for transfers to other locations and ReCAP. ** 

  1. Go to Scan In Items, then choose the Change Item Information tab.
  2. In the Change Type, choose Permanent.
  3. In the Location field, choose the location from the dropdown list.
  4. In the Item Policy, choose the appropriate policy for the chosen location.
  5. Click In the Scan Item Barcode field and scan the barcode of your item. If you have a pile of books you can continue to scan one after the other.

 

  • You do not have to fill in any other fields.
  • This process will create a holding if one does not exist for that location.
  • If you moved the last item on a holding, Alma will automatically delete the holding.

**Important note: Please make sure there is nothing in the New Barcode field, including an empty space. If there is anything in this field, it will make those characters the new barcode. If there is a space (which you won't see, of course), Alma will convert this to a NULL as the new barcode, effectively stripping any barcode from an item record. If you click into the New Barcode field so that you leave any invisible space, Alma will accept the space as part of the new barcode. These errors make it impossible for you to search for the item.


Changing location to "New Bookshelf"

This procedure should be used for items that need to be assigned to the “new bookshelf” in your library and also when the new item is returned to its permanent location. 

**It should NOT be used for permanent location changes within your library, transfers to other locations and ReCAP. **

Adding to the new book shelf:

  1. Go to Scan In Items. Click on the Change Item Information tab.
  2. In the Change Type, choose Temporary.
  3. In the Location field, choose the location from the dropdown list.
  4. In the Item Policy, from the dropdown choose the appropriate policy for the chosen location.
  5. In the Scan Item Barcode field, scan the barcode of your item. If you have a pile of books you can continue to scan one after the other.
  6. You do not have to fill in any other fields.


To change back to original location when item comes off the new bookshelf:

  1. Go to Scan In Items. Click on the Change Item Information tab.
  2. In the Change Type, choose Restore (this will change it back to the permanent location).
  3. In the Scan Item Barcode field, scan the barcode of your item. If you have a pile of books, you can continue to scan one after the other.
