Placing/Cancelling Requests

Placing a Request
These are the steps for how to place a request when you have the book in hand and want to put it on hold for a patron.
- To place a request on an item in Alma, search for the item in the persistent search box. Search by “physical items” and barcode.
- Then on the far right side of the screen, click on “request”.
- In the “request type” drop down, select “patron physical item request”.
- Type the patron’s barcode into the “requestor” field.
- Fill in the pickup location in the “pick up at” field.
- Then click “submit”.
- A slip will pop up onto the screen because the system assumes the item needs to be pulled. If you already have the item, press “cancel”.
- Next go to Scan in Items.
- Scan the barcode into the “Scan item barcode” field.
- A hold slip will pop up onto the screen. Click on “print” to print the hold slip. Fold the hold slip lengthwise and place it into the book.
- Shelve the book on the hold shelf by the patron’s last name.
- In 1 hour, the patron will receive an Item Available notice instructing them to come in and pick up the item. If they don’t pick up the item in a few days, a reminder notice will be sent.

Cancelling a Request
- To cancel a request on an item in Alma, search for the patron by clicking on Fulfillment, >> Manage Patron Services, then scan their barcode number into the search box.
- Then click on the “Requests” tab.
- Locate the title you need to cancel and on the far right, click on the three ellipses and choose “cancel”.
- Choose the reason for cancellation.
- Please decide if you would like to Notify the user of this cancellation or not notify them. If the “Notify User” box remains checked, this will immediately send a cancellation notification to the patron.
- As a final step go to Fulfillment >> Scan in items
- Scan the item barcode into the “Scan item barcode” field.
- This removes the status of the item being on the hold shelf and changes the item status to “Item in place (awaiting reshelving...)”.
