Activating a Single e-Resource from Task List

Use this procedure to activate a single e-serial or e-book title that appears on the activation task list.

  • From the sidebar on the left side of the screen, select "Resources -- Manage Electronic Resource Activation" to get to the Electronic Resource Activation Task List. 
    • Items in the task list were usually created in the order process. They often require more work than a simple activation. They may need to be moved into collections, have URLs/holdings updated, etc.
    • Titles may show up in the list before our access is active.
    • If multiple changes were made to order information, the same title may appear on the task list multiple times due to automated Alma processes.
    • Some items in the task list are for possible deactivation rather than activation.
    • Viewing an item on the list may assign the task to you automatically. To un-claim, click on "Release Assignment."
  • Use tabs, filters, searching, and/or sorting to locate the title/s to work on.
    • Tabs allow navigation between lists of assigned and unassigned tasks.
    • There is also an option to filter by PO line, Type, or Title. For example, filtering by "Type: journal" will show e-serials only.
    • Clicking on a heading in the top bar will sort the column.
  • A green checkmark in the Notes column indicates the presence of a note; if present, click on it to view the additional information before proceeding.
  • From the overflow menu to right of the title, click "Test Access."

  • Check if the portfolio is associated with a collection.
    • The collection name will follow "Full text available at:" If in doubt about whether it is the correct collection, research and move if appropriate.
    • If the portfolio was created as standalone, this will just say "view full text."
  • Enable proxy for standalone portfolios and new collections, if they are paid resources.
    • For standalone portfolios, set "Proxy enabled" to Yes on the Linking tab of the portfolio.
    • Portfolios in collections will inherit this setting from the collection level, though this is not evident at the portfolio level. If unsure whether a collection is being used for the first time, check the proxy setting on the Linking tab of the service, not the portfolio.
    • Free resources do not need proxy enabled.
  • Check if the link is working and verify full text access.
    • If a serial, also verify coverage information.
    • If the link doesn't work, check for notes associated with the order to determine where access should be found, and check the CZ for a matching portfolio. It may be necessary to replace the portfolio with a CZ equivalent and relink the order.
    • If the link leads to a "Remote Access Error" page, see Resolving Remote Access Problems.
    • If the link works but access is denied, check the order date. If fairly recent, add a note that access is not yet working and reset the activation date a few weeks into the future.
  • If everything looks right, open the overflow menu, click "Activate," and confirm.
  • A popup will offer the option to review the portfolio; accept.
  • Click on the title to review the bib record.
  • Return to the task list and click "Done" from the overflow menu to remove the entry from the list.
