Moving a PO Line to a Different Portfolio

Scenario: Two portfolios associated with different bib records both represent the same title/provider/coverage. One is inactive, attached to an order; one is active & CZ-linked.
Goal: Reattach order information to CZ-linked bib and to CZ-linked portfolio. Delete the duplicate portfolio and (if no other inventory) bib.

Step 1: Relink order to CZ-linked bib
Note: If both portfolios are already associated with the same bib record, skip this section and go on to Step 2.

  • Search by Electronic Title and locate the desired records.
  • From the record with the active portfolio, copy the MMS ID.
  • On the record with the inactive portfolio, click on the number following "Orders" (next to green shopping cart) to view the PO line. If more than one, select the electronic.
  • Click "Change bib reference" button and Confirm.
  • From the dropdown, select the record with the active portfolio (matching copied MMS ID). If that record does not appear in the dropdown, search for it by MMS ID and select it. The CZ icon will help to identify a CZ-linked record.

    The record with the active portfolio should now show the green "Orders" shopping cart icon.

Step 2: Add PO line to CZ-linked portfolio

  • Return to the Electronic Title search results screen. (Can use back arrow at top left of screen.)
  • On the record with the inactive portfolio, select Portfolio List.
  • Select Edit Portfolio (or View).
  • Select the Acquisition tab.
  • Copy the PO line from the top box.
  • Use the back arrow (top left of screen) to return to the Electronic Title search results screen.
  • On the record with the active portfolio, locate the portfolio that matches the order (same provider/coverage) and select Edit Portfolio.
  • Select the Acquisition tab.
  • Paste the PO line into top box; select the order when it appears as a dropdown. Verify that the title matches.
  • Click Save.

    The active portfolio should now show the green "Orders" shopping cart icon. At this point it will still appear on the inactive portfolio too, but both represent the same order.

Step 3: Delete duplicate(s)

  • Return to the Electronic Title search results screen. (Can use back arrow at top left of screen.)
  • On the record with the inactive portfolio, select Portfolio List.
  • On the inactive portfolio, select Delete.
  • Change the dropdown selection to: Delete bibliographic record(s) and Confirm. There is no danger of deleting any records that have other inventory attached (e.g. if the electronic portfolio was attached to a physical version record with separate order & holdings).
    Note: If both portfolios were originally associated with the same bib record, ok to leave the default "Do nothing" option.
