Catalog Bound-With Items

Instructions on how to edit bib and holdings fields specific to bound-with situations are provided in Resource Description >...> Bound-with cataloging. Below is a copy for your convenience.

Definition

A physical item such as a volume or microfilm reel that contains more than 1 separately-cataloged bibliographic title.  The classic example is a volume of separately-published pamphlets that were subsequently brought together and bound by a collector or library.  The generic RDA relationship among the pamphlets is accompanied by (item): An item brought together with another item after being issued.  The RDA relationship between the pamphlets and the overall volume is contained in (item): A larger item of which the [described] item is a discrete component.  The MARC relationship is "host/constituent" as expressed in the tags 773 and 774.

Host record

To represent the "vertical" relationship between the constituent titles and their host, a record for the host must be created.  The content can be as full as warranted for the particular case.  These fields are required in the host record:

In addition, there may be information on binding, provenance, and so forth.  Such notes pertain to the host rather than the constituents.  Do not code them as "item-specific" as the entire host entity is unique.

Host records are considered to be local cataloging. Do not add a 902 field.

774 field

774 fields will be added to host records programmatically.  As of 11/18/21, Catalogers should add 774 fields manually. The set will be based on new "Multi-title collection" records that do not contain 774s.  Records in which the host's MMS ID appears in 773 $$w will provide the MMS IDs for the host's 774 $$w.  That subfield will be the only content in the field.

Constituent records: 773 field

In each constituent record, add a 773 field as link to the host.  Indicators 0#.  If the host is composed of multiple units, use $$g to specify the unit that contains the constituent.

Holdings

The host record gets holdings and item records as usual.

Constituent records do not have a holdings representing the host.  Instead, the 773 $$w serves as a link to the host record, and its holdings record become a "related record" holding for the constituents.  The constituents thus are considered to be physical titles in Alma.

Templates

PUL has shared templates for Bound With host records and for 773 fields.

In host record

To create a host record from a template:

• Go to the Templates tab in the left pane of the metadata editor

• Right-click PUL BoundWith Host Record and select New Record from Template

• The following template record will appear in the main pane of the MDE. Complete according to local guidelines:
  
  

In constituent record

To add a 773 field to a constituent bib using a template:

• The bib record should be open in the main pane of the MDE.

• In the top menu bar, select Editing Actions > Expand from Template.

• Choose the template PUL BoundWith 773 and "Applying method: Add all"
  

• Copy and paste the MMS ID of the host record in the 773 field:

And repeat for each constituent bib record.

List holdings cumulatively, with a single holdings statement representing all title changes. 

This is similar to the way holdings were listed following the Latest Entry convention under AACR. (Don’t spell out the titles in 866, just list the holdings.)

Multi-title collection is a bound volume or box containing serial issue(s) and unrelated monographs or serial issues.

In the example below, the titles in this multi-title collection also have copy-specific notes in the bibliographic record. The titles are housed together in a single archival box, which has a single barcode.

• Create a separate 866 for each title in the multi-title collection that has a copy-specific note or has serial holdings. (A monograph in the multi-title collection with no copy-specific info wouldn’t need an 866; the 774 in the Host bibliographic record is sufficient for identifying that title). 

• Princeton copy X, will be followed by a colon, and then the title, followed by a colon and the serial holdings. All information is placed on one $$z. 

• The holdings will display in Blacklight with copy numbers and serial issues listed, so that users can request the item that they are looking for.
