Items - Create
Items and Holdings
- Items must be attached to holdings.
- When creating an item through other workflows such as Acquisitions, Alma will also create a holding if one does not already exist for the item’s library/location/call number.
Option 1: From the Metadata Editor
First, you have the holdings record open in the Main Pane
Second, select the menu option Add Inventory > Add Item (Alt + I)
This brings you to the Physical Item Editor to edit the item. The Permanent location field will have been populated from holdings 852
The holdings record does not need to be saved first. Add Item (Alt+i) kicks off a series of motions -
- Save the holdings record to Princeton's repository
- Populates call number from the 050 of bib if 852 has 0 in the second indicator
- Opens a new blank item record in the Physical Item Editor
Option 2: From Repository Search Results
If you are adding an item to an existing holdings record, alternatively you can bypass the MDE if it suits your workflow.
- In the repository search result, click on the hyperlinked Holdings (no. 20)
- In the List of Holdings, click on the three-dot icon in the far right side of the table, select View items
- Click on in the upper-right corner
A blank Physical Item Editor is open.
Instruction for the Holdings Management Team and Fullfillment/Branch staff:
There are no items with the selected labels at this time.
Option 3: Quick Cataloging (DO NOT USE)
Fulfillment staff please contact Joan Martine or Marie Wange-Connelly
From the vertical menu bar select Resources > Create Inventory > Add Physical Item
Option 4: During the Acquisitions Process
Option 3A - Receive New Items list
From the Receiving list, you can create new items for Continuous orders, not for One time orders.
Option 3B - List of Items
From the List of Items, you can create new items for One Time or Continuous (not recommended) orders.
Option 5: Duplicate an Item
From the List of Items, you can click the three-dot icon > Duplicate
A second item identical to the one being duplicated is generated, except that the barcode field is stripped and blank.
Note that this new item has automatically been saved to Princeton's respository already the moment it is generated.
