Order Manager in Figgy

Figgy Contributors collaborate with colleagues from various departments to ensure requested enhancements to the digital object in Figgy are reflected in either Order or Structure Manager and are in accordance with our evolving best practices.  Additionally, it is always useful and appreciated to share a bit of information about how the work in Figgy is done and why some terms may or may not be better placed in Order versus Structure manager, for example. We have collaboratively created a spreadsheet of controlled terms for pagination and page labeling that is a great place to start!

  1. Go to figgy.princeton.edu
  2. Log in by clicking the “Login” button in the upper right hand side of your screen. You will be prompted to enter your Princeton University NetID and Password.
    1. You will know you are logged in to figgy by looking at what was the Login button, in the upper right hand side of your screen. If you are logged in to figgy, you will see in place of “Login” your net id:
  3. Go to the item you would like to edit by searching for the figgy collection, the title or the unique identifier, such as a bibliographic ID, or a finding aid component ID.  (ex:9949444053506421 ). 
  4. Claim the item by clicking the blue claim button to the left, above the viewer. It is now yours to work on!
  5. Order Manager may be used to set the viewing direction, the way in which a work will be displayed in the viewer (such as single paged, two up, or continuous pages), the start page, item thumbnail, and page renaming or pagination. To get into Order Manager, navigate to the menu at the bottom of your screen and click on “Order Manager”: 
    1. Viewing Direction and Viewing Hint
      1. Once in Order Manager, a “Set Properties for this resource” column to the right of the digitized work may be seen. In this column, one may set the viewing direction of the resource by simply clicking on the preference or the circle next to it (Left to Right is the default, but may need to be changed if the work in a language such as Arabic, Persian or Hebrew).
    2. Viewing Hint  (the way in which pages will be displayed in the viewer to patrons), may also be selected in this way.
      1. Individuals: each image is a separate sheet, or a 2-up spread that should be shown by itself
      2. Paged: show the item in a 2-up, page-turning view
      3. Continuous: used for large scrolls and other oversized items
    3. When selection is complete,  Click the “Apply Changes” blue button below the Viewing Hint options on the right hand side of your screen.
    4. Confirmation that your selections have been saved is displayed via a green “your work has been saved!”  pop-up at the top of the screen screen :
  6. Pagination/Page renaming, Item Thumbnail and Start Page selection
    1. Important: Please refer to the spreadsheet of standard terms and labels, where applicable
    2. To start any of these edits, simply click on one of the pages displayed to the left of the “Set Properties for this resource” column. 
    3. The column to the right of the digitized work should now be “Edit the selected item”, with new options below.
    4. To edit a single page:
      1. Click on the page to be edited. This will select the page. You will know the page has been selected by a fine orange outline around the digitized item and the pagination below”
      2. To change the page name (such as Front Cover), type the preferred name in the box provided under “Label”, in the right hand column. 
      3. Click “apply changes”.
      4. Confirmation that your selections have been saved is displayed via a green “your work has been saved!”  pop-up at the top of the screen screen :

    5. To edit multiple pages:
      1. Select a range of pages you would like to rename by clicking on the first image of the series, holding the shift key and clicking the last page of the sequence you would like to rename  (currently pagination and foliation in cardinal numbers and roman numerals is supported in figgy). You will know the pages have been selected by a fine orange outline around the digitized items and the pagination below:
      2. In the right hand column in the box under “starting numeral”, enter the number or numeral you would like the sequence to start with (this should reflect the pagination of the digitized item).
      3. Once happy with your work, click “apply changes”
      4. Confirmation that your selections have been saved is displayed via a green “your work has been saved!”  pop-up at the top of the screen screen :

    6. To Set a Thumbnail and a Start Page:
      1. Click on the image you would like to be your thumbnail and or start page.
      2. You may set the item thumbnail and/or startpage by clicking the boxes to the left of both options. 
      3. Click “apply Changes”
      4. Confirmation that your selections have been saved is displayed via a green “your work has been saved!”  pop-up at the top of the screen screen :

    7. Important Tip for Multi Volume Works (MVW) - (Watch demo)
      1. You can also set a thumbnail representative for a multi volume work, which will show up in the online catalog for that work.  In order to set the MVW thumbnail 
        1. First select thumbnails for each volume in the MVW by clicking on “View”, to the right of each Volume near the bottom of your screen. 
        2. Follow directions above.
        3. Once thumbnails for each work are selected, go back to the main view for your MVW.
          1. Click on “order manager”
          2. You should see the selected thumbnails for each volume as your options to select from
          3. Select your preferred thumbnail
          4. Click on “set as resource thumbnail”
          5. Click “Apply Changes”
          6. Your are done!
  7. Once Pagination, Labeling, etc. is complete in order manager:
    1. Mark “Metadata review” under “actions” at the bottom of the main record page.  
    2. Comment with your name/net id that the item was worked on/is ready for review and update your spreadsheet page in google drive.
    3. Unclaim the item, if you are not continuing on to add structure in Structure Manager
