1) A new value Library was added to 852 and stored in $b

2) Voyager $b (Location) was moved to Alma $c (Permanent physical location)

3) Voyager $c (Shelving location) was moved to Alma $k (Call number prefix)

Example: An oversized book in Firestone Stacks

  • $b → $c
  • $c → $k

Tips

1) 852$c: To see which location codes have changed from Voyager to Alma, check out the spreadsheet Location Codes and select the filter Location code change

2) 852$k: Before you save your bib record, run the menu option Editing Actions > Enhance the Record (Ctrl+Alt+E)

The normalization rule will generate the correct $k value based on the size of the material, and the subfield, along with call number, will then be populated in holdings 852.

Ghost inventory

Incorrect subfield tags in 852 may cause the holdings record to disappear from view in repository search results. People have reported cases where scanning in a barcode or searching by a known holdings ID turns up a blank, grayed-out Physical tab. That’s how Alma behaves with an erroneous 852 subfield tag.

How to correct

In the unlikely scenario you encounter a ghost holdings record, you may use Browse Shelf Listing to locate it.

1) Retrieve the record in Blacklight by the MMS ID of the bib

2) Copy the call number (Fortunately, Blacklight will displaying holdings despite the erroneous tag)

3) In Alma, go to Resources > Browse Shelf Listing and browse by the call number

4) From the results list, click on the hyperlinked Holdings

You have brought the ghosting record into the MDE. Correct the subfield tag and the holding will display properly under the Physical tab in repository search results.
