Import Records Into Connexion Client From Alma (via Z39.50)

Import Records Into Connexion Client From Alma (via Z39.50)

Steps

After you have configured Connexion Client for Alma, you can bring an Alma bib record into the Connexion Client.

1) Log into the Connexion Client. Open the Tools menu and select Z39.50 > Connect

2) In the dialog that appears, leave the Username and Password fields blank and click OK.

3) A dialog will then appear asking for the Record ID Number. Enter the MMS ID of the desired Alma record, then click Find.

This field also contains a drop down menu of recent Record IDs that have been searched for.

4) The desired Alma record is retrieved and imported as a new Bibliographic Workform.

Notice that the imported record is not in Local Save File - until you press F4 to save it.

1. If you need to bring in another Alma record, make sure you have saved the first imported record (F4) first. Otherwise what is in the Bibliographic Workform will be overwritten by the next import.

2. To troubleshoot connection problem, try disconnecting Z39.50 first and connect again; or close the Connexion Client and reopen.

Application

Existing Alma records for Special Collection or non-Roman materials may contain useful data or scripts to be transferred to/incorporated into the WorldCat record, or they may actually be a richer record than the WorldCat record. If you need to update the current Alma record and prefer to edit it in Connexion Client, you may first move the record from Alma to the latter platform.

To create a new WorldCat record

The record imported from Alma into the Workform may not be directly used to create a new WorldCat record.

One of its fixed fields, Record Status, typically displays a non-editable value c, for Corrected or revised - , triggering an OCLC validation alert about the missing 001 field.

Solution: derive a new record from the imported Alma record. Go to Edit >> Derive >> New Master Record

This changes the Record Status to “n,” for New.

When you finish editing, produce (F8) your new record to WorldCat.

To update an existing WorldCat record

If you are updating a WorldCat record and the Alma record contains data that should be transferred to the master, you may copy and paste the desired content from the Alma/Bibliographic Workform record to the existing master.

When you finish editing, replace the WorldCat record with your version.
