East Asian Library cataloging procedures follow general CAMS practices. For cataloging procedures specific to EAL, consult the following documentation.

EAL Western Books Cataloging and Processing

Cataloging

Bring the book to a cataloger. Cataloger decides who should do cataloging and processing.

Physical processing

For Firestone Library stacks:

  • Add security strip, book plate, top edge stamping. Do not make call number. Firestone has its own which is different from EAL.
  • Send to Marie Wange-Connelly (head of Circulation and Inventory Management Services)

For Recap:

  • Add book plate, top edge stamping, and call number (security strip will be added in Recap)
  • If not send to Recap right away, use “in process” in Voyager item record
  • Before put it on the Recap truck, remove “in process” status and discharge in the circulation system
  • Put in the Recap truck for sending to Recap

For books that need binding:

For books need to be bound (e.g. cannot stand on their own on the shelves), send them to: Shelf Direct Bindery Services, 693 Alexander.

If in doubt whether special binding is necessary, send to Shelf Direct Bindery Services, with note: “Binding decision”.

EAL Serial Reproduction Cataloging

LC/PCC practice

Generally, a reproduction or republication of a serial is treated as a serial according to CONSER practice and the LC-PCC PS 0.0. However, catalog the following as a monograph:

  1.  A republication of a single issue or a limited number of issues.
  2.  A collection of bibliographically unrelated serials or articles.

EAL Rush Book with Recap Destination Cataloging and Processing

 If there is a good member copy in OCLC, catalog and export it to Voyager.

  • Keep “in process” in Voyager item status
  • No need to change location from Recap to c/j/k
  • Give the book to the Circulation.

 If there is no good record in OCLC, proceed as follows:

  • Keep “in process” in Voyager item status
  • Add “cataloging review” to the item status
  • Write note in Voyager MFHD: “866 b0 $x catalog after return”
  •  No need for call number labeling as it hasn’t been cataloged.

Rush video processing:

  • Print out Voyager record and send it with DVD (Barbara needs to see English title)
  • Leave a note in MFHD:  sent to Barbara J. McLaughlin for rush processing. Catalog and send to rcpqv when return   
  • Create an empty item record.  Add “cataloging review” in item. Leave note in item”send to cw/sc/ fk, etc EAL after return”
  • Put a note the course number and the instructors name:  e.g. Prof. Tokumasu  course# : JPN402/EAS402 Reading in Modern Japanese II
  • Send to the Video Library, B-15-H, Firestone, attn.: Barbara J. McLaughlin
  • Stick note on the container “please return to EAL after streaming is done”

EAL Updating Continuation Bibliographical Records through OCLC

*Required settings (these need only be set once):

Connexion (under Tools > Options)

  • In the "Export" tab, "Allow export of workforms" must be checked.

Connexion File Import Settings (under File > Import Records...)

  • Click the "Record characteristics..." button, and set both "Character Set" values to "UTF-8 Unicode".  Then click "OK.  Under "File to Import", enter C:\Voyager\work\voyager_export.bib (or any other MARC record file).  Make sure "Import to Local Save File" is selected.  Then click "OK".  When it asks if you want to delete the import file, click "No".  This will actually perform an import  (you must do so in order for the settings to hold).  You can always go in to the local save file and delete the imported records if you want.

Voyager Cataloging (under Options > Preferences...)

  • In the "General" tab, "Bibliographic Import/Replace Profile" should be set to "Gest Cataloging".

For the macro to work, Voyager must be open with a record displayed and saved to the DB.  Connexion must be open and logged in, but with no windows open. 

*Process of updating records:

1) With a record open in Voyager, launch stage 1 of the macro with the shortcut CTRL+ALT+E.  This should export the record from Voyager, import it to the OCLC Local Save file, and display it.

What the stage 1 macro does:

  • Saves record to an external file
  • Imports record to OCLC local save file
  • Opens record in OCLC
  • Inserts 999 field containing BibID (to be used when importing back to Voyager).

2) Perform manual edits on record (including Romanization, which for Chinese can be done via a Connexion macro).

3) With the modified record open in Connexion, launch stage 2 of the macro with the same shortcut, CTRL+ALT+E.  This will export the record from Connexion, import back to Voyager, and save it, overlaying the original record.

What the stage 2 macro does:

  • Exports OCLC record to a file.
  • Imports record to Voyager.
  • Saves record in Voyager. The BibID in the 999 field will invoke the dedupe dialog.
  • Overlays new record on the old one.
