Set or Change a Work Order Status
Handling Items in Work Orders (Receiving at your department and changing status)
If a Work Order is initiated on an item by a Department or Circ Desk to your department, your department should Scan in Item when it arrives.
- When you Scan in Item, set a status. The status depends on the Work Order Type for your department.
- Once an item has been scanned in by the department and an initial status has been set, staff members in that department (and only that department) can change the status at any time.
- If you do not Scan in Item and set a status, there will be no status. and it will be difficult to track it down.
- When you see an item in a Work Order and it has no status, this will usually mean that the department has not yet processed the item, or that the item is still in transit to them.
Set or Change a Work Order Status
There are two ways to change the status of an item in a work order for your department. These steps can also be used to set an initial status if the item is already in a work order for your department but has no status yet.
Option 1: To use Scan In Items:
- Make sure your Currently “At” location is set to your department
- Navigate to the Scan In Items screen either from the Fulfillment or Acquisitions menus - they go to the same place.
- Choose the status, for the next stop in the process
- Leave Done set to No, because this work order is not complete yet.
These settings are sticky, so you could scan in all the items you have in hand that you have just received, or want to move to the next step in your internal process one after another without clicking all this again.
- Scan in the item barcode.
- The item is now Scanned In at your department. You can't Scan In an item at any department other than ones you have permissions for.
Option 2: In Process Items Screen (multiple items at once)
- Make sure your Currently “At” location is set to your department
- Go to either of these menus (they go to the same page): Acquisitions > Receiving Departments Items or Fulfillment > Manage in Process items
- Use the filters or the search box as needed
- Check off the items that need to be changed
- Use the Change Status button in the upper right
