Passworded e-serials

A small number of electronic serials require a username and password instead of using IP-based access. The login details are kept on pages that can be accessed only by authenticated Princeton users. Instructions for adding and maintaining titles on these pages follow.

Log into LibApps (need relevant permissions):

Choose: Research Guides

Choose: Content – Guides

Filter by Group: CAS Protected Databases

Then follow steps below, including any related Alma work.

Additions:

  • Click Create Guide

  • Choose Layout: Copy

    • Local Guides

    • Template for CAS-Protected Resources

    • Check Copy Assets

    • Guide Name: Enter title

    • Guide Type: General Purpose

    • Group Assignment: CAS Protected Databases

    • Share: Internal

  • Click Create Guide

  • Edit Title

  • Fill in Username & Password, and Link (edit Hyperlink)

  • Remove Example Document

  • Preview (eyeball icon)

  • Change status from Unpublished to: Change Status & Share

  • Choose Private and click Save.

Note: For titles that require further instructions, enter them in the same section as the username and password.

From the top of the Edit Guide page for the new resource, copy the link, which should take this form: 
https://libguides.princeton.edu/c.php?g=[numerical code]

In Alma:

  • Create/update the portfolio as part of the electronic collection: non-proxy ejournals.
  • For the portfolio's Parser parameters (Linking tab), paste the copied link, preceded by jkey=  
    (e.g.:  jkey=https://libguides.princeton.edu/c.php?g=1419749).
  • Enter coverage information.
  • In the portfolio's Internal description (Notes tab), add the direct resource URL, preceded by: Direct URL:
    (e.g.:  Direct URL: https://joim.com/library-archives/).
  • Test access starting from Alma.


Updates:

  • Go to the CAS Protected Databases list, as above.
  • Scroll down to the affected title.
  • Click Edit (at right).
  • Make whatever changes are needed.
  • Test access starting from Alma.

Related Alma work:

Username/password changes do not require any updates in Alma.

A change to the direct URL needs a parallel update in the portfolio's Notes tab.


Removals:

  • Go to the IP restricted resource list, as above.
  • Scroll down to the title being removed.
  • Click Delete (at right).

Related Alma work:

If the title is being removed completely, the corresponding Alma portfolio needs to be deleted also.

If the title is still available but has switched to IP-based access, the portfolio needs to be moved to the appropriate collection (usually publisher/Miscellaneous Ejournals) and updated. The URL on the Linking tab should be updated to the direct URL, and the direct URL on the Notes tab should be deleted.
