There are two ways of adding Electronic Resources bibliographic records into Alma

The following steps assume that you have already completed the cataloging in Connexion.

This is for an Electronic Resource that is not currently part of an existing Electronic Collection in Alma.  These are called "Standalone Portfolios"

NOTE: If you have multiple 856 tags in your bibliographic record, you must manually add additional portfolios if using the Import Profile.  The Import Profile only creates a Portfolio with the first 856 tag.   If you have only one 856 tag in your portfolio, you don't need to manually create any new inventory/portfolios to the bib record.  But remember this is only when using an Import Profile to import the record into Alma.  If you use the Metadata Editor & OCLC to import, you must manually add every 856 tag as a Portfolio.

If you have completed the cataloging in Connexion & have exported it as an .dat file that you have converted to an .mrc file:

  1. In Alma, go to Resource → Import and find the Import Profile named "Ebooks with holdings & No CZ link".
  2. Click on the "..." button to the right of Import Profile name & select "Run"
  3. In the next window, select "Select File" & and click the folder icon at the top of the pop-up menu.
  4. Browse to the location where the file you exported exists & double-click it.  The filename will now appear in the Select File menu
  5. Click the "Add" button at the bottom of the Select File menu.  The Menu will disappear,
  6. Click the "Submit" button at the top right of the screen.
  7. The import process will begin.  If you want to see when the file has imported, click the "Refresh" link.  When the status is "Completed Successfully" the import is complete.
  8. After Imported, click the "..." button on the right & select "Imported Records"
  9. You will see record(s) that you have imported.
  10. See Step 8 below regarding Open Access titles.  You will need to MANUALLY TURN OFF Proxy for Open Access titles after Importing (EZProxy is set to be automatically enabled when using Import Profiles.)  Then go to Step 13 below.

If you have completed the cataloging in Connexion & have Saved it to your Online Save File:

  1. Open the Metadata Editor in Alma
  2. Select "Search & Browse" → "Search Resources" from the top menu
  3. In the "System Number" field, enter the OCLC Number (numbers only) for the new or updated record in WorldCat you just cataloged
  4. Click "Import".  The bibliographic record will now appear in the Metadata Editor.
  5. Copy the URL(s) from the 856 (if you have multiple 856 tags, you will need to add portfolios for each one you want to appear as a link in Blacklight)
  6. Select "+Add Inventory" → "Add Portfolio"
  7. In the form that appears, Enable Proxy & select "Default: Currently EZProxy"
  8. NOTE: For Open Access titles, DO NOT enable Proxy or select EZProxy.  These do not need to go through EZPRoxy for access.
  9. Scroll down to "Inventory & Linking Information" paste the URL into the blank field & make sure that the Availability Status is "Active" & the Electronic Material Type is "Book"
  10. In the Library field, select "Electronic Access"
  11. Click Save & Done button
  12. Save & Release the bib record as you normally would with anything you've cataloged
  13. Search for title in Alma
  14. When you locate the title you've added, click on "Portfolio List", then the "..." button on the right → Test Access
  15. Click the "view full text" link.  A new tab will open in your browser showing the full text of the document in a new tab.  If the full text does not appear, the html link in the portfolio needs to be corrected.
