This document is meant to serve as an overview of the e-resources ordering process for new e-resources with inventory.
This workflow identifies specific personnel and is intended for Carlos Santos, Heidi Fisher, and Joe Marciniak
- Joe sends order email to vendors and copies Carlos and Heidi
- The order email contains the funding information and product information
- The order email will advise the vendor to hold invoicing until they receive the PO number from Carlos
- Carlos locates the e-resource in the Community Zone
- If no record exists in the Community Zone, Carlos creates a local record
- Carlos creates a PO Line for the e-resource
- The PO Line is packaged into a PO via a job in Alma
- Carlos sends the PO number to the vendor to include on the invoice
- Carlos assigns an activation task:
- Kevin Connell activates eBooks, eBook Collections, Databases, and Streaming Videos
- Nancy Burns activates eSerials, eSerial Collections
- Joe receives the invoice from the vendor with the PO number and submits it to Finance* via Lodi@princeton.edu
- Finance pays the invoice and uploads it into OnBase
*Finance still needs to confirm this workflow works for them. Joe emailed them on 7/9/21 and cc'd Carlos and Heidi.
