Open Bib and Inventory Records From Editors

Open Bib and Inventory Records From Editors

There are multiple ways to open a record from Princeton's repository for editing. This page covers the second one.

1) Conduct a search from the Persistent search bar, select and bring results into editors

2) When you already have a bib record open in the editor, get its holdings/item record; or vice versa

3) Browse by call number via Browse Shelf Listing and open records from the results list

4) Browse by name, title, etc. via Browse Bibliographic Headings and open records from the results list. Due to a number of known issues with this feature, please apply this method at your discretion.

Bib → Holdings → Items

With a bib open in the Main Pane of the MDE, get its inventory records

Step 1. Menu option View Related Data > View Inventory (Ctrl+I)

A list of Inventory displays in the split pane.

Step 2. Under the Holdings tab, you can choose -

  • Edit to edit a selected holdings record
  • View Items to open the List of Items, where you will be able to open an individual item in the Physical Item Editor by clicking the hyperlinked barcode
  • View to open the selected holdings record in read-only view.
    • Press Back to results to return to Inventory
    • If multiple holdings exist, use the Up and Down triangle icons to navigate

If there are multiple holdings

The Alma data structure does not permit identical text strings in the 852 field of separate holdings of a title, thus in the Inventory window each holdings record displays a distinct location.

Inventory records migrated from Voyager may contain non-differentiating 852 across multiple holdings of the title

A small pocket of records having been migrated from Voyager may display identical location and call number in multiple holdings records, without even a copy number ($t) to differentiate them.

If in the unlikely case where you encounter any of them, only barcode can help you match the item in hand with its holdings record.

Item → Bib

With an item record open in the Physical Item Editor, get its bib record

Step 1: Click on the hyperlinked title and statement of responsibility at the top of the record

This opens the read-only version of the bib

Step 2: Press Edit or Push to MDE

Item → Holdings

Step 2: Press Edit or Push to MDE

In comparison, if you have clicked the hyperlinked View all holdings, you will open the List of Holdings.

Related Records

The menu option View Related Data > View Related Bibliographic Records is applicable to records that are linked by 773, 774, and other 7xx, 8xx fields.

An example of related records is the host bib of bound-with items. Its title begins with the phrase "Multi-title collection including"
