Mendel DocDel Scanning Procedure
Docdel Scanning Documentation
Check MusLib email for incoming messages from DocDel with the subject line Document Delivery Pull Slip.Â
As these jobs are for patrons, we don’t want them sitting in the inbox for too long. Try to check once per hour and then pull within 30 minutes.
Also, before printing, check to make sure that the requested document is not over 50 pages or 3 chapters. If the request comes from a journal, check to see if it is for fewer than 3 articles from the same journal. If you’re unsure of any of these guidelines, please let Brittany know.
If you are unable to fill the request for any reason, including the guidelines above, reply to the DocDel request with UNFILLED: and the request’s TN number in the subject line. Then send a short message outlining why you were unable to fill the order.
If everything looks good, print the email and then flag the email in the inbox by clicking the red flag icon in the email subject line. We will leave the email in the inbox until the scan is completely done.
On the printed sheet, highlight the item call number and library location.
It's helpful to underline, circle, or highlight the call number on the printout before giving it to a student worker so they have no problems figuring out the location. It’s also good to stay in the habit of double checking for yourself!
Either pull the item yourself or give it to a student worker to pull and place on the scanning desk.
Once you have the item in hand, log in to the DocDel scanning computer.
Open the Capture Perfect 3.0 on the desktop.
Click Scan and choose Batch to File from the Dropdown menu.
In the filename field, save the scan using the TN number from the DocDel request (Note: do not include the letters TN in the filename, only the number.) in the DocDel documents folder on the desktop.Â
Make sure Save as Two Images IS NOT checked and scan the DocDel request sheet you printed in step 1 (scan front and back if it’s two pages).Â
Click Save to scan the first page.
Â
Â
After scanning the Docdel Request email, the Continue Scanning pop up should come up automatically. When it does, select Save as Two Images and click Continue Scanning to scan subsequent pages. The scanner will automatically split them into individual pages.
Don’t forget to scan all of the front matter: title page, copyright page, table of contents, and any other lists of figures, images/illustrations, or abbreviations.
Â
Â
Â
Scan requested pages.
After the last page, check the back of the item and scan any notes, bibliography, or anything else related to the section you scanned.Â
When finished, click Stop Scanning on the pop up, then close the Capture Perfect window.
Go to the location you saved the file and open the pdf and click edit.Â
Click organize pages and delete any extraneous pages from the document.
Click edit again. Scroll through the document cropping or deleting any black borders or marks left from the scanner, then recenter text if needed.
To delete unwanted borders, click them and hit the delete key (backspace will not work).
Make sure when you delete the black lines, you aren’t deleting any page numbers, headers, images, or text.Â
Â
Â
If the unwanted marks are part of the same layer as images or text, click on the crop button and drag the sliders to crop out the black border, rather than delete it.Â
Â
Â
To re-center text, click and drag the mouse to select everything on the page you wish to move and use the arrow keys to move text horizontally. You can also hold shift and drag text.
As you are scrolling to edit the pdf, make sure your page count matches what is given in the request.
Click the save button, then close the document.
Right click and copy your file from the DocDel documents folder and paste it to the images drive (lib-illsql).Â
Go back to the muslib inbox. Click the red flag in the subject line so it turns to a green check, then drag the email to the DocDel-ILS Scan Done folder.
