Portion Notes
Special Collections Figgy Portion Note Instructions - Focusing on Finding Aids
In an effort to clarify the scope of digitized materials in the Finding Aids for both researchers and staff, improvements were made during the Summer 2026 Pulfalight Finding Aids Work Cycle. This new feature now displays when an item is partially digitized. This is in partnership with work previously done within Figgy.
The Pulfalight product owners would like to provide the following instructions on using this feature for materials that are digitized and linked to the Finding Aids.
*Work related to this for other applications will come later. Ingestors, however, can use these instructions so that when the other applications are updated, this work is already completed.
Figgy:
Use the Is Portion checkbox when you are completing ONLY a portion of the component id.
In the Portion Note open field, enter the most useful information related to what portion is digitized. This is public-facing, so keep that in mind.
The field will only become available after the box is checked.
Examples:
Cover, p123-129
Folder 7 only
Manuscript only; no other supporting materials from folder
Portion: title page, copyright notice, and table of contents only
Portion: single photograph
Select images
Portion of a folder/box
If the item is fully digitized, nothing more is needed. The use of the portion note box will not be used for this moving forward.
Work will also be done to rectify adding the checkbox to materials that already have portion notes in the future.
Finding Aids Display:
This checkbox will trigger the purple icon/badge to appear in the finding aids.
The open text will appear in the More Information section at the right of the viewer window.
