Overview: Ordering New E-Resources and Obtaining MARC Records

This document is meant to serve as an overview of the e-resources ordering process for new e-resources and obtaining MARC records

This workflow identifies specific personnel as of August 7, 2021.

Overview of new E-Resource Acquisitions Responsibilities:

  1. Work with selectors/vendors; arrange trials; obtain product information; negotiate pricing; process license agreement; technical setup (JOE)

  2. Place order with vendor account manager (JOE)

    1. This step via email

  3. Create PO Line in Alma; obtain invoice from vendor; process invoice (CARLOS)

    1. These steps via email and Alma

  4. Assign activation tasks (CARLOS)

    1. This step via Alma

  5. Activate e-resources (KEVIN C., NANCY, JOE)

    1. Nancy activates e-serials; Kevin C. activates eBooks streaming media; Joe activates databases

  6. Track products/collections in shared spreadsheet (SANGITA)

    1. This step via Google Sheet

  7. If MARC records are needed, obtain them from vendor or OCCL (SANGITA, KEVIN C., JOE)

    1. These steps via email; vendor websites/FTP; and OCLC

  8. Update shared spreadsheet with notes and mark when completed (KEVIN C., NANCY, CARLOS, SANGITA)

  9. Load and update MARC records in Alma (KEVIN C.)

    1. These steps via Alma and import profiles

  10. Add resources to Database List and create assets in LibGuides (JOE)

  11. Arrange and schedule vendor training webinars/demos for patrons and selectors (JOE)
