Purpose of 902 field

The local 902 field was created in 2000 when PUL began using Voyager.  It was initially intended to replace paper cataloger statistics sheets.  Staff added 902 when finishing a new record.

Addition of the 902 field indicates that staff work on the record has been completed.  It can be used both by humans and by automated processes.  The field also provides the basis for cataloging statistics for individuals and units, and for PCC statistics reporting.

I Copy your Alma user ID

You will need your Alma user ID to customized your 902 fields. There are two ways to obtain that ID number.

Method A: Tiger Card

Your University ID number is printed on the front of your Tiger Card. This is also your Alma user ID.

Method B: Alma User Details

  1. Click on the People icon near the top right corner
  2. Under your name, click on User Details
  3. On the next page, highlight your ID number and copy it

II Create personalized templates for the 902 field

Next, we will create two personalized templates for the 902 field, for original cataloging and copy cataloging respectively.

1 In the Metadata Editor, select Templates > MARC21 Bib on the left pane.

Type 902 in the search box

This brings the Shared template 902 generic to the top

3 Click on 902 generic

This will generate a new MARC21 Bib record based on the template, which contains a 902 field only. Don't worry about the error alert in red at the bottom of the record.

For example --

4 Revise the 902 field for original cataloging:

$a Paste in your own Alma user ID. Remove brackets around the ID, as shown in the example.

$w original

5 Select the menu option Save > Save as Template

For example --

6 In the pop-up window, name your template --

[your initials] 902 original

Save it as a Private template

For example --

902 ## $$a 010005218 $$w copy

7 Now revise 902 for copy cataloging:

$a Your own Alma user ID

$w copy

8 Repeat steps 5-6 above, save it as a private template named --

[your initials] 902 copy

9 Switch to Templates > MARC21 Bib > Private and verify that the two new personalized 902 templates are listed there

10 You can return to the Records tab and safely release the one-field bib record (Alt+Shift+R)

III Add a 902 field to a bibliographic record

When you have completed a catalog record, follow the steps below to add a 902 field to the bib record and mark its completion.

1 Open the bib record in the Main Pane of the MDE.

Select the menu option Editing Actions > Expand from Template (Ctrl+E)

In the pop-up menu, type 902

Select your template of choice: original or copy

Note: You can customize your template menu to make the 902 options appear at the top of the list so you don't have to search for them.  See instructions in template documentation.

2 Leave Add all selected

Click OK

A 902 field will be added to the bottom of the bib record.

3 If you are authenticating this record for PCC and adding a new 042 field, repeat steps 1-2 but select the (shared) template named pcc. This will generate a second 902 field.

The pcc template is not used for copy cataloging with a previously-coded PCC record.

4 The last step is to generate a timestamp in the 902 field by running the BibNorm Rule.

Select the menu option Editing Actions > Enhance the Record (Ctrl+Alt+W)

PUL-BibNorm should be the default. If it is, click OK.  If it is not, open the drop-menu and select it.

5 You will now see a number string in a subfield $1 added to the 902 tag.

For a PCC record, the two 902 fields will be stitched into one.

Save and Release your record (if you are done cataloging it)! You are done! :)

Purpose of 902 field

In 2022, 902 was revived and reconfigured for Alma, with new subfields and new methods of application.  The field contains data that can only be specified by the person completing cataloging.  These are: cataloger ID, type of cataloging (copy or original), and whether the record was authenticated for PCC by PUL.  A timestamp is added based on the 005 field.
