Scenario: If you need to order/activate an electronic collection (such as an E-Book collection), but there is no record in the Alma Community Zone (CZ), you will need to create a local electronic collection to complete the order/activation process.

Workflow:

  1. Search the CZ to confirm that there is no record for the collection you would like to order/activate
  2. Click "Resources" and then "Add Local Electronic Collection" in the Alma menu on the left side of the screen:

  1. Complete the following fields:
    1. "Public name" (what patrons will see)
    2. "Collection type":
      1. "Selective package" for "a type of electronic collection that includes only some of the collection's titles (as opposed to an aggregator package, which includes all of the e-collection's titles)."
      2. "Aggreator Aggregator package" for "a type of electronic collection that includes all titles (as opposed to a selective package, which includes only some of the collection's titles)"
      3. "We subscribe to only some titles in this collection": Choose "No" or "Yes" depending on the scenario
    3. Click "Save and Continue"
  2. The Electronic Service Editor will open so you can complete the activation and access information
    1. While the remaining fields are optional, complete as many as you are able to in the "Descriptive Information", "General Information", and "Coverage Information" sections.
    2. Under "Inventory and Linking Information", add the URL (if you have it), and then complete the following:

  1. If you want to add Portfolios at the time of Electronic Collection creation, click on the "Portfolios" tab.
    1. You can Add Portfolios by uploading them from an existing .mrc file on your computer, or from a set that you have created in Alma (see "Managing Search Queries and Sets in Alma") 
  2. Click "Save and Done" in the upper-right menu
  3. The portfolio you created will now be available in the Institution Zone (IZ)
  4. Locate the portfolio in the IZ and click "Order" in the right-side menu to create a PO Line for this portfolio:

  1. The designated personnel will now see that the activation has been assigned to them, and they will check the record and tests the link
  2. If access is working and the record is good, the E-Book is activated.
    1. Cataloging quality will be checked and, if necessary, completed, (see Cataloging Workflow: Cataloging and Inventory Management)
  3. E-Books are discoverable to patrons
    1. Blacklight WORKFLOW
      1. Job to run every 6 hours to update
      2. Once an order line is added, it will appear in Blacklight as "unavailable" until it is activated, then it will be "available"
  4. Request and invoice from vendor with PO included on the invoice
  5. Receive the invoice from vendor
  6. Submit the invoice for payment
  7. Finance payment WORKFLOW
